Refund Policy
Our commitment to your satisfaction — returns, refunds & cancellations.

We stand behind everything we make. If something isn't right, contact us within the applicable window and we'll make it right. Our goal is always your satisfaction.

Coffee & Beverage Returns
Due to the perishable nature of specialty coffee, we have a limited return window. Here's our policy:
- Unopened bags may be returned within 7 days of delivery for a full refund
- If your coffee arrives damaged, stale, or incorrect — contact us within 48 hours for a full replacement or refund
- We cannot accept returns on opened coffee bags unless there is a quality defect
- Photo documentation of damaged or incorrect items may be required
If your coffee doesn't taste right, we want to know. Call us at (224) 490-6981 — we'll always work with you to make it right.

Bundle Package Returns
Club infrastructure packages (Basecamp, Recovery Lounge, Event-in-a-Box, Content Bundle) have the following return policy:
- Cancellations before fulfillment begins: full refund within 5 business days
- Cancellations after fulfillment begins but before delivery: 50% refund
- Returns after delivery: items must be unused and in original packaging — 30% restocking fee applies
- Custom branded items (tees, co-branded bags) are non-refundable once produced
- Defective or damaged items are replaced at no cost within 14 days of delivery

Subscription Cancellations
Pro-Roast Monthly subscriptions can be cancelled at any time with the following terms:
- Cancel before your next billing date to avoid being charged for the following month
- Cancellations must be made at least 5 days before your billing date to take effect
- No refunds are issued for subscription charges already processed

Event Cancellations
For paid group rides and community events:
- Cancellations 7+ days before the event: full refund
- Cancellations 3–6 days before the event: 50% refund or full credit toward a future event
- Cancellations within 48 hours: no refund, but credit toward future events may be issued at our discretion
- If we cancel an event due to weather or safety concerns, you will receive a full refund or reschedule option

Refund Process
Approved refunds are processed as follows:
- Refunds are returned to the original payment method
- Processing time: 3–7 business days after approval
- You will receive a confirmation when your refund is processed
- Shipping costs are non-refundable unless the return is due to our error
